Education:  Bachelor’s Degree in Communications, Technical Writing, Marketing, Public Relations, Journalism, or equivalent; Master’s Degree preferred

 

Experience:  5+ years of experience in content marketing, communications, or a related field, with a proven track record of creating, maintaining, and updating documentation and knowledge bases.

 

THE OPPORTUNITY:

We are seeking a highly organized and detail-oriented Documentation Specialist to join our team. Reporting to the Director of Implementation Program Management, this position will be responsible for the creation and maintenance of documentation related to all aspects of the business, both internally facing and externally distributed.

Responsibilities

  • Create and maintain key violator-facing and Implementation-related documents, including:
    • Notice of Violation templates
    • Correspondence templates
    • Call Center SOPs and resources
    • Training documents and presentations
    • Customer signoff documentation
  • Manage knowledge base and internal access to relevant documents, processes, and work instructions driven by standards and documentation
  • Maintain SharePoint site for processing guidelines and SOPs for Operations functions
  • Maintain and disseminate state- and program-specific requirements, such as state summaries, requirements documents for go-live, and signoffs
  • Revise existing documentation, standards, and file organization to increase efficiency
  • Collaborate with Customer Success and Citation Operations teams to update legacy programs with current standards
  • Ensure business rules, trainings, and best practices are translated and documented with clarity
  • Work cross-functionally with Growth, Operations, Legal, and other teams.

Qualifications

  • 5+ years’ experience in Documentation, training development or similar roles
  • Strong understanding of technical concepts and ability to translate complex information into clear and understandable language
  • Excellent written and verbal communication skills
  • Proficiency in using documentation tools and software; experience with a Content Management System strongly preferred
  • Knowledge of documentation standards and best practices
  • Meticulous attention to detail
  • Highly organized, comfortable working in a fast-paced environment with changing priorities, ability to be flexible and work with autonomy
  • Experience with projects involving the public sector preferred
  • Strong ability to understand how applicable laws impact our business
  • Ability to adapt communication styles to various internal and external stakeholders
  • Strong experience with internal and external stakeholder management
  • Bachelor’s Degree in Communications, Technical Writing, Marketing, Public Relations, Journalism, or equivalent; Master’s Degree preferred

The US salary range for this position is provided in this posting. Our salary ranges are determined by role, level, and location. The range displayed on each job posting reflects the minimum and maximum target for salaries for the position across all US locations. Within the range, individual pay is determined by work location and additional factors, including job-related skills, experience, and relevant education or training.
