Location: Remote – Must be in the US.

Education: Bachelor’s degree in Computer Science, Information Systems, Psychology, Human Resources, or Business Administration preferred, however not required
Experience: 5+ years’ experience working in a TA Operations role with a strong understanding of ATS’s and related integrations, best in class TA operations, vendor selection and management, strong Excel, and reporting skills. Must have a passion for TA Operations efficiency and technology. Strong iCIMS administration, reporting and troubleshooting required.

The Talent Acquisition Operations Manager is the key driver in managing and evolving the Talent Acquisition and HR technology portfolio and roadmap in partnership with leadership and key business stakeholders. This role provides system administration for iCIMS ATS/CRM and HR tech tools like ADP, Cornerstone, and Culture Amp, ensuring seamless integration and optimal performance across platforms. You will configure and support business processes, notifications, reporting, and data quality management while identifying opportunities for process improvement and innovation.

This role reports directly to the Director of Talent Acquisition and works closely with Talent Acquisition, HR, IT, and vendors to ensure the successful execution of strategic goals.

Responsibilities

Technology Administration & Support

  • Serve as the primary system administrator for iCIMS ATS/CRM, ADP, Cornerstone, and Culture Amp.
  • Oversee system configurations, user access requests, audits, troubleshooting, bug escalations, and enhancement requests.
  • Collaborate with IT and vendors to manage system integrations and security protocols across the HR tech stack.
  • Partner with stakeholders to identify opportunities for process automation, self-service solutions, and improved candidate and employee experiences.

Talent Acquisition Systems Management

  • Manage the configuration and optimization of iCIMS ATS/CRM, ensuring automation, efficiency, and a positive candidate experience.
  • Partner with iCIMS and other vendors to implement new enhancements, provide feedback on user experiences, and drive continuous improvement.
  • Lead system upgrades and manage the overall talent acquisition tech stack roadmap, ensuring alignment with company growth and strategic goals.

Data, Reporting, and Analytics

  • Ensure the accuracy of system data and generate regular reports to deliver key metrics and actionable insights for stakeholders.
  • Works with  the Director to translate trends and data into strategic recommendations for process improvements in Talent Acquisition and HR operations.
  • Support compliance and audit processes by maintaining data integrity and documentation across all systems.

Vendor Management and Stakeholder Collaboration

  • With the Director manage vendor relationships, performance, and accountability for systems and recruiting tools (LinkedIn, Indeed, Criteria, CoderByte, background and drug testing vendors, etc.).
  • Partner with cross-functional leaders and stakeholders to implement company-wide changes in processes, tools, and experiences for candidates and employees.
  • Collaborate with HR and IT teams to develop and execute system training and change management plans for end users, recruiters, hiring managers, and employees.

Qualifications

What you will need:

  • 5+ years of experience configuring and managing complex and powerful Applicant Tracking System/Candidate Relationship Management (CRM), with business processes, data structure, reporting, and data auditing and 2+ years’ experience managing a team.
  • Experience with the administration of iCIMS ATS is required (we will not accept another ATS experience). 
  • iCIMS CRM experience is preferred, however not required.
  • Experience working in Talent Acquisition function with strong understanding of the recruiting life cycle process from talent identification through hire.
  • Experience managing vendors, career sites, and building rapport and accountability (LinkedIn, Indeed, Criteria, CoderByte, background and drug test vendors, etc.).
  • Ability to solution for complex global multi-language configuration challenges.
  • Ability to analyze and format data in order to produce attractive, informative, and readable reports and presentations that are accentuated, where appropriate, by meaningful and insightful tables or charts.
  • Experience interpreting data from recruiting tools, communicating findings, and creating data-backed recommendations for improving recruiting processes.
  • Detail-oriented with a complete focus on quality results/deliverables. Technical proficiency in MS Office, including Word, Excel, Outlook, and PowerPoint.
  • Demonstrate strong ability to embrace and adapt to change, take the initiative, and showcase curiosity, learn quickly in a fast-paced environment.
  • Self-starting and resourceful work ethic requiring minimal guidance.
  • Displays ability to understand and accurately interpret data related to Talent Acquisition.
  • Excellent communication (verbal & written) and presentation skills.
  • Must possess business acumen and market insight, with a strong sense of integrity and confidentiality.
  • Analytical thinking skills, problem-solving abilities, with a sense of urgency.
  • Ability to identify, design, and execute impactful solutions to key recruiting pain points, from sourcing to onboarding.
  • Ability to lead change management for new tools, processes, and policies to ensure company-wide adoption and adherence.

Minimum US Base Salary

USD $135,000.00/Yr.
