Overview

Location: Islandia NY

Travel: This is a hybrid role requiring in-office work three days a week in Islandia, with occasional travel (approximately once a month) to tradeshows.

Education: Bachelor's degree in Marketing, Event Management, or a related field

Experience: 2-4 years of proven experience in tradeshow coordination and event management, and social media management with strong organizational skills and attention to detail.

Job Summary:
BusPatrol is looking for a Marketing Coordinator to support our tradeshow and social media efforts as part of the Growth Team. In this role, you will be responsible for coordinating our participation in industry events and managing the social media content calendar. You’ll work closely with internal stakeholders to ensure successful event execution, create engaging content that aligns with our brand, and help drive awareness and engagement through digital channels.

Responsibilities

Tradeshow Management:

  • Coordinate all aspects of BusPatrol’s participation in industry tradeshows and events, including registration, logistics, and booth setup
  • Manage shipping, delivery, and packaging of tradeshow materials and promotional items
  • Oversee ordering and production of branded swag to support events and campaign initiatives
  • Schedule and lead internal pre-event planning meetings ("Know Before You Go") and post-event debriefs
  • Maintain detailed event schedules to ensure smooth coordination and execution onsite
  • Research and evaluate potential industry events, conducting ROI analysis and providing strategic recommendations on participation
  • Track and report tradeshow performance, attendance, and costs for fiscal planning and evaluation
  • Collaborate with the Sales team to align on goals, maximize event engagement, and follow up on leads
  • Draft and manage pre- and post-event email marketing campaigns to drive attendance, engagement, and follow-up
  • Assist in creating and preparing presentations for events, ensuring they align with brand messaging and event objectives.

Social Media:

  • Own and maintain the social media content calendar across platforms, ensuring consistent and timely posting
  • Draft and schedule engaging content that reflects our brand voice and supports campaign goals
  • Collaborate with marketing leads on content ideation and creative development aligned with our brand pillars
  • Monitor and respond to mentions and engagement through Sprout Social, providing timely insights and community management
  • Track performance metrics and report on key social media KPIs to inform future strategy
  • Assist with content creation for social media, including graphics, posts, and multimedia assets, using tools like Canva and iMovie

Qualifications

  • Bachelor’s degree in Marketing, Event Management, or a related field
  • 2-4 years of proven experience in tradeshow coordination and event management
  • Strong organizational skills with a keen attention to detail
  • Ability to collaborate effectively across all levels and prioritize tasks
  • Proficiency in event management software and Microsoft Office Suite
  • Ability to work independently and remotely, with occasional travel to the Islandia office
  • Valid driver’s license and access to reliable transportation for tradeshow shipments and deliveries
  • Flexibility to adapt to changing priorities and meet tight deadlines
  • Experience using Canva for content creation
  • Familiarity with social media management tools, specifically Sprout Social
